By creating a ConvMate account or using the service you agree to these Terms. If you don't agree, don't use ConvMate.

1. What ConvMate does

ConvMate is an AI-assisted meeting-preparation service operated by Neptune Lab. When you connect your Google Calendar and Gmail (and optionally Zoom), ConvMate reads calendar events and related messages to generate briefing documents about upcoming meetings and their attendees. Briefs are delivered to your email inbox.

2. Data we access

  • Google Calendar events (read-only)
  • Gmail messages and threads (read-only, plus send-on-your-behalf for delivering briefs)
  • Zoom cloud recordings and meeting summaries (read-only, if you connect Zoom)
  • Publicly available information about meeting attendees (via web search, LinkedIn public preview, licensed data providers)

We store this data as needed to operate the service — see our Privacy Policy for details.

3. SMS notifications (opt-in)

ConvMate may send you optional SMS text messages — for example, meeting reminders, brief-ready notifications, or delivery confirmations. SMS is opt-in only. You will not receive SMS from ConvMate unless you explicitly enable it in your dashboard and provide a valid phone number.

By opting in, you consent to receive automated SMS messages sent using an automatic telephone dialing system. Message frequency varies based on your calendar activity. Message & data rates may apply from your mobile carrier. Neptune Lab does not charge for SMS delivery, but standard carrier rates for text messages will apply.

How to opt out at any time:

  • Reply STOP to any ConvMate SMS message.
  • Turn SMS off on your dashboard.
  • Email sms-optout@neptunelab.ai.

Reply HELP to any ConvMate SMS message for assistance, or contact support@neptunelab.ai.

ConvMate SMS is a US-only feature at this time. Non-US numbers are not supported.

4. Email notifications

ConvMate sends meeting briefs to the email address you sign in with. You can stop email delivery by disconnecting your Google account or deleting your ConvMate account.

5. Acceptable use

You may not use ConvMate to prepare for meetings involving individuals or organizations that you don't have a legitimate professional or personal reason to be preparing for. You may not resell, republish, or share brief output without appropriate context. Don't use ConvMate to harass, stalk, or profile anyone.

6. Third-party services

ConvMate relies on Google, Zoom, and various data providers (DeepSeek, Tavily, People Data Labs, and others). Their availability and terms may affect the service. We're not responsible for third-party downtime or data quality.

7. Account termination + data deletion

You may disconnect Google/Zoom at any time, or request full account deletion by emailing privacy@neptunelab.ai. On deletion we remove your OAuth tokens, profile, and memory records within 30 days.

8. Disclaimers

ConvMate is provided "as is." Briefs are AI-generated and may contain errors, outdated facts, or inferences. Always verify high-stakes information independently. Neptune Lab is not liable for decisions you make based on brief content.

9. Changes

We may update these Terms. Material changes will be announced by email at least 14 days before taking effect.
